About the USGA: 

The USGA conducts the U.S. Open, U.S. Women’s Open and U.S. Senior Open, as well as 10 national amateur championships, two state team championships and international matches. Together with The R&A, the USGA governs the game worldwide, jointly administering the Rules of Golf, Rules of Amateur Status, Equipment Standards and World Amateur Golf Rankings. Position Summary: 

The Executive Assistant to the Executive Director provides administrative support to Executive Director, as well as Executive Department in the areas of travel planning and expense reporting. S/He provides support to Manager, Executive Operations at the Masters and in the U.S. Open Executive Office.


What You Can Expect 

Support and assist the Executive Director in the fulfillment of his varied responsibilities

  • Evaluate, prioritize and direct incoming phone calls, mail and email messages; assist in email management
  • Draft correspondence on behalf of Executive Director; anticipate needs before they arise
  • Update Outlook contacts
  • Schedule meetings and manage calendar
  • Serve as “go-to person” for Executive Director which includes being available outside of standard working hours as needed
  • Serve as backup administrative support for President

Department Specialty: Travel Planning and Tracking for Executive Director and Executive Staff

  • Coordination of very heavy travel schedule for Executive Director; includes domestic and international travel arrangements, and handling of all associated reservations (flights, rental cars, car service, etc.)
  • Creation of detailed itinerary spreadsheets
  • Assist Senior Managing Directors with travel planning, as requested
  • Data entry and tracking of all travel-related details in Access database

Department Specialty: Expense Reporting for Executive Director and Executive Staff

  • Prepare expense reports, submitting on behalf of Executive Director and following up to ensure that all reimbursable expenses have been properly reimbursed
  • Assist Senior Managing Directors with expense reporting, as requested
  • Utilize Access database to track all expense reporting

U.S. Open

  • Assist in tracking and fulfillment of U.S. Open credential requests received by Executive Director
  • Travel to U.S. Open site and support Manager, Executive Operations in Executive Office

Special Projects and other Administrative Functions

  • Coordinate “Lunch with the Executive Director” with staff
  • Provide on-site support to Manager, Executive Operations at the Masters
  • Assist with organization and storage of various documents and handle conversion of existing paper documents to digital files
  • Provide assistance on-site at Walker Cup (when held in U.S.) every four years, as requested

What You Bring to the USGA 

  • Degree/diploma in Secretarial Science or related field (or at least 4 years’ experience)
  • Proficiency in Microsoft Office Suite including Access, Outlook, Word, Excel, PowerPoint
  • Excellent telephone and interpersonal skills – diplomatic, friendly, personable, cooperative
  • Extremely well organized and detail oriented
  • Fast and accurate typing ability

Abilities Required:

  • Able to understand and respect Executive Director’s preferences and anticipate next steps; discernment to show initiative without overstepping
  • Able to draft meaningful correspondence on behalf of Executive Director in a timely manner
  • Reliable, conscientious and able to work independently
  • Able to prioritize to meet tight deadlines and work well under pressure

Skills Preferred:

  • Proficiency in Adobe Acrobat Professional and Microsoft SharePoint

This position requires:

  • 100% confidentiality required; good judgment, discretion, integrity
  • Travel to Masters and U.S. Open (10-20 days per year)
  • Willingness to work overtime as requested
