Together with The R&A, the USGA governs the game worldwide, jointly administering the Rules of Golf, Rules of Amateur Status, Equipment Standards and World Amateur Golf Rankings. Position Summary: 

The Executive Assistant to Sr. Managing Directors provides administrative support to two members of Senior Management Team, as well as Executive Department support in the areas of Technology and Microsoft PowerPoint. S/He provides support to USGA Hospitality for the U.S. Open in the areas of Staff and Transportation. S/He coordinates logistics of periodic Town Hall meetings and is responsible for creating and posting Executive Committee notebooks throughout year.


What You Can Expect 

General Administrative Support to Senior Managing Director, Business Affairs

  • Evaluate, prioritize and direct incoming phone calls, mail and email messages
  • Draft correspondence
  • Update Outlook contacts and calendar
  • Coordinate collection of Annual Department Plans
  • Assist with Travel Planning and Expense Reporting (coordinate with department specialist)
  • Other administrative tasks, as requested

General Administrative Support to Senior Managing Director, Public Services

  • Evaluate, prioritize and direct incoming phone calls, mail and email messages
  • Draft correspondence
  • Update Outlook contacts and calendar
  • Detailed editing of various types of documentation
  • Organize paper and electronic files in order to leave a comprehensive record for the future
  • Coordinate collection of Annual Department Plans
  • Assist with Travel Planning and Expense Reporting (coordinate with department specialist)
  • Other administrative tasks, as requested

Department Specialty: Technology and PowerPoint Presentations

  • Assist in creation of presentations for Executive Department, as requested
  • Seek ways to increase use of technology to better serve the needs of the Executive Department and the Association as a whole
  • Coordination of USGA Holiday Card

Coordinate production and posting of Executive Committee Notebooks Throughout Year

  • USGA Annual Meeting (February)
  • Spring Meeting (May/June – prior to U.S. Open)
  • Fall Meeting (October/November)

Consult with IT Department and other sources to enhance product’s user-friendliness and improve compatibility with latest electronic devices (enable electronic searching, editing, etc.). Consider:

  1. What we ask for (create a template for reports)
  2. How we package the information received
  3. How we deliver it to the Executive Committee

Town Hall Meetings and Other All-Staff Events

  • Coordination of periodic Program Leader meetings
  • Coordination of periodic Town Hall meetings and other all-staff meetings and events (i.e., Holiday Party)

U.S. Open Championship

  • Create online registration for USGA staff working the U.S. Open
  • Coordinate transportation for various groups served as part of US Open Hospitality (EVIPs, VIPs, Staff, possibly Rules Officials)

On-site Support at U.S. Open - Serve as Floater between Rules Hospitality and USGA

What You Bring to the USGA 

  • Degree/diploma in Secretarial Science or related field (or at least 2 years’ experience)
  • Strong proficiency and enthusiasm for technology, including Microsoft Office (Access, Outlook, Word, Excel and PowerPoint)
  • Excellent telephone and interpersonal skills – diplomatic, friendly, personable, cooperative
  • Able to prioritize and meet tight deadlines and work well under pressure
  • Able to work independently and take initiative; professional, reliable and flexible
  • Extremely well organized and detail oriented
  • Proficiency in Adobe Acrobat Professional and Microsoft SharePoint (preferred but not required)

Additional Comments: 

This position requires:

  • Travel to site of U.S. Open (10-15 days per year) to serve as a Floater (as needed) in USGA Hospitality and Rules Hospitality areas
  • Willingness to work overtime as requested
