Position Summary: 

The Executive Assistant is responsible for providing administrative support to a Senior Managing Director for the USGA. This role is primarily focused on general administrative duties including but not limited to heavy calendar management; screening, prioritizing and directing incoming correspondences, calls, and messages; drafting correspondences and presentations; arranging travel and scheduling; ordering supplies; reporting; creating documentation; understanding key relationships; and ensuring the Senior Managing Director is prepared and operates optimally. This role works closely with a team of Executive Assistants in supporting other projects, initiatives and Executives as required.


Position requires proficiency in MS Office Suite, with an emphasis on Access.  A Microsoft Office test will be administered as part of the interview process. 

What You Can Expect 

  • Evaluate, prioritize and direct incoming phone calls, mail and email messages
  • Draft electronic and hard copy correspondence, including timely creation of thank you letters (develop 2-3 standard letters for use as templates)
  • Anticipate deadlines and requirements (including timely completion of registration on behalf of the Senior Managing Director at various events throughout the year); research and provide pertinent documentation to Senior Managing Director in advance of meetings in order to help him prepare; provide daily calendar and supporting documentation for that day’s meetings
  • Develop a keen understanding of important relationships between the USGA and other key organizations
  • Assist Senior Managing Director in the coordination of joint governance meetings
  • Assist with development of written policies and procedures
  • Travel Planning, including a substantial amount of international travel planning
  • Maintain Senior Managing Director’s Outlook (i.e. email, contacts, calendar, yearly schedule, etc.)
  • Assist with other administrative assignments, special projects, and other executive support

What You Bring to the USGA 

  • Required: 
    • Degree/diploma in Secretarial Science or related field (or at least 5 years' experience)
    • Strong proficiency in Microsoft Office, Outlook, Word, Excel and PowerPoint, with heavy emphasis using Access
    • Excellent telephone and interpersonal skills - diplomatic, friendly, personable, cooperative
    • Able to prioritize and meet tight deadlines and work well under pressure
    • Significant experience with domestic and international travel planning
    • Able to work independently; reliable and flexible
    • Extremely well organized and detail oriented
  • Preferred:
    • In-depth knowledge of international travel protocols
    • Multi-lingual
    • Proficiency in Adobe Acrobat Professional (preferred but not required)
    • Familiarity with golf

  • Must be willing to work over-time as requested, in particular, during peak times (Championship season)
