Assistant Manager, Licensing & Order Department
 

Position Summary: 

The Customer Service Representative will provide exemplary customer service to support organizational and department goals; receive and process orders for USGA publications, staff and committee uniforms and gifts; and promptly research and respond to all inquiries.

 


Duties 

  • Customer Relations:
    • Handle all customer relations in a professional, respectful, patient and pleasant manner.
    • Become knowledgeable on all USGA publications and products available for sale, including product codes, content, prices and volume discounts, as well as other USGA services.
    • Retrieve messages from the toll-free 800# voice mail within two working hours.
    • Retrieve customer emails from Publications website, respond to and/or forward messages to appropriate staff within 24 hours of receipt.
    • Compose and send letters to customers as needed
  • Order Entry:
    • Accurately and efficiently enter customer profiles and orders into the order processing system.
    • Confirm USGA membership status.
  • Order Processing: 
    • Prepare mail requests and labels for expedited, high-volume and international orders.
    • Confirm customer payments are authorized and release orders for shipping.
    • Print and deliver packing slips to mailroom for shipping and communicate expedited or special requests.
  •  Filing:
    • Receive packing slips and tracking information from mailroom, notify customer of additional shipping charges, close orders and file.
    • Review and mail Golf Association and Member Club invoices.
    • File copies of customer and vendor invoices and purchase orders.
    • Enter customer tax-exempt certificate information in database, maintain database, and scan and file certificates.
    • Purge shred and store documents in accordance with organization’s record retention policy.
  • General: 
    • Provide weekly inventory report on handicap publications, and other products as requested.
    • Report weekly number of calls received on the 800# each hour.
    • Open, sort and distribute Order and Licensing Department mail.
    • Scan documents, and save and file electronically.

 

 

Knowledge, Education, Skills & Abilities 

Required Skills:

  • Excellent verbal and written communication and listening skills
  • Capable of handling multiple and successive phone orders with patience and a polite, professional and helpful telephone voice
  • Excellent grammar, written composition and etiquette skills
  • Detail-oriented, good problem-solving and time management skills
  • Ability to prioritize, multi-task and keep well organized
  • Proficient in Microsoft Office (Word, Excel, Outlook and Access)
  • Proficient typist (65+wpm)
  • Confident and able to work under pressure, be flexible and remain calm
  • Strong customer service skills and prior data-entry experience (1-3+ years)

Preferred:

  • Associates or bachelor degree in business or service-related field
  • Knowledge of Microsoft SL Dynamics and e-commerce systems
  • Interest in golf
