About the USGA:

Position Summary: 

The Administrative Assistant is responsible for providing administrative support to the assigned Green Section regional office staff and is based out of Palmer, MA. The list below is representative of typical duties as specific responsibilities will vary depending on the region, experience, and work schedule. There may be duties that do not apply and others not included.

 

Please note this role is Part Time during the off season (October until March) and Full Time during the season (April until September).


What You Can Expect 

  • On-site Visit Scheduling/Database/Reports:
    • Maintain database in a timely manner with up-to-date information pertaining to contacts, scheduling, generating itineraries, visit worksheets, visit notices, invoices, etc.
    • Assist regional agronomist(s) by contacting subscribing clubs to confirm on-site visits, send appropriate visit notice letters, and prepare materials prior to visits.
    • Transcribe reports, incorporate appropriate images and graphics, proofread and return meeting all necessary deadlines.
    • Handle all invoicing and follow-up on delinquent payments.
  • Other Administrative Duties:
    • Answer and assist on phone calls, emails and mail correspondence.
    • Maintain and update all golf course files.
    • Research various databases, reprints and websites for information, as requested.
    • Correspond with allied associations to request continuing education credits for USGA programs.
    • Assist with developing educational materials as requested (e.g. PowerPoint). 
    • Assist regional director with yearly budget development by compilation of annual data. 
    • Organize and maintain all general files, both print and electronic.
    • Type, edit, and proofread agronomist articles for Green Section Record, regional updates, regional newsletters, etc.
    • Type and distribute general memos and correspondence.
    • Assist with expense reimbursement and mileage reports for regional staff, as directed.
    • Prepare requested reports for Accounting and Golf House (e.g. weekly attendance, various reports, agronomist summaries, GCSAA education credits, invoices, expenses, invoicing). 
    • Maintain staff calendar(s) for office/region.
    • Order and maintain office and supplies.
    • Participate in periodic on-line meetings with other Green Section staff.
    • Adhere to all USGA policies and procedures.
  • General:
    • Coordinate travel arrangements for conference speaking obligations, on-site visits, national and regional conferences, USGA meetings
    • Assemble packets and handouts for regional meetings. 
    • Maintain a fundamental understanding of the USGA strategic plan and goals for a culture of excellence.
    • Assist with other departmental activities, as assigned.
 

What You Bring to the USGA 

  • Experience with dictation transcription
  • Excellent typing skills (60+wpm) required
  • Excellent communication, grammar, writing, and proofreading skills
  • Detail oriented with excellent organizational skills
  • Ability to prioritize duties and work well without direct supervision
  • Ability to learn appropriate technical terms of the job
  • Adaptable to a changing intensity of work schedule throughout the year
  • Motivated to provide excellent customer service
  • Courteous and professional demeanor
  • Strong computer skills especially Microsoft Office (Word, Excel, and PowerPoint)
  • 3 Years’ Administrative or related experience required
