Position Summary: 

 The United States Golf Association (USGA) seeks an administrative assistant to provide support with scheduling, correspondence, travel planning, and other organizational tasks.  This candidate will be responsible for coordinating and handling a number of diversified duties within the respective department.  Candidate must demonstrate good judgment, work independently, take initiative and have the ability to work in fast paced working environment, willing to work additional hours, up to 2 weeks on-site at national championship, as well as weekends when needed. 

 


Duties 

  • Coordinate internal and external meetings, including basic meeting logistics (locations, agenda, equipment, etc.)
  • Prepare expense reports
  • Coordinate travel plans including flights, lodging, meeting itineraries and other logistics.
  • Support correspondence to ensure all incoming phone calls and written communications are responded to in a timely manner.
  • Assist with organization and storage of various documents and handle conversion of existing paper documents to digital files.
  • Assist in preparation of reports, presentations, and other various documents.
  • Manage department calendar and contacts using Microsoft Outlook.
  • Manage several major mailings/projects that are sent to vendors, volunteers, staff, executives and committee members.
  • Customer service inquiries that include handling requests for ticket or merchandise.

Knowledge, Education, Skills & Abilities 

 

  •  4-6 years minimum work experience, preferably in an administrative capacity
  • Excellent telephone and interpersonal skills – diplomatic, friendly, personable, cooperative
  • Able to prioritize and meet tight deadlines
  • Able to work independently
  • Extremely well organized and detail oriented
  • Strong proficiency and good understanding of MS Office programs including Word, Excel, Access, and PowerPoint
  • Able to handle movement and shipment of  boxes up to 30lbs
  • Annual Travel to U.S. Open host club for approximately up to two weeks in June
  • Willing to work overtime as requested
