The Executive Assistant provides administrative support primarily to the Chief Financial Officer (CFO). This person is responsible for departmental reporting (ex. attendance) and heavy calendar management. Strong interpersonal and customer service skills. The executive assistant provides team support to Finance and Accounting as required. This position requires proficiency in MS Office Suite. A Microsoft Office test will be administered as a part of the interview process.

What You Can Expect:

Administrative Support to Chief Financial Officer to include:

  • Evaluate, prioritize and direct incoming phone calls, mail and email messages
  • Manage CFO calendars, including creation of a yearly schedule
  • Expense Reporting
  • Travel and Meeting Planning
  • Draft electronic and hard copy correspondence
  • Anticipate deadlines and requirements; research and provide pertinent documentation to CFO in advance of meetings in order to help them prepare
  • Develop a keen understanding of important relationships between the USGA and other key organizations
  • Assist with Accounting and Finance department’s development of written policies and procedures
  • Assist with creation of PowerPoint presentations for high level presentations
  • Other administrative assignments and special projects, as requested

Team Support

  • Support CFO and other team members with scheduling meetings and calls with Executive Committee members and other senior level staff
  • Manage distribution lists and disseminate content in whatever format that takes on (email, SharePoint site, other)
  • Coordinate activities relating to issuance and maintenance of vehicle titles, vehicle registrations, vehicle insurance and driver records for company cars. Coordinate activities relating to issuance of insurance cards for company cars and rental cars. Maintain vehicle and driver data files. Compile accident claim information for company cars and championship vehicles. Work with insurance company on vehicle claims. Inform insurance broker of vehicle changes and driver changes. Handle recall notices.  Assist with order processing for new Lexus vehicles
  • Compile and maintain records for credit cards issued to staff.  Compile and maintain records for staff attendance and PTO.  Maintain Accounting calendar.  Create and maintain files for follow-up, contracts, accidents, insurance certificates, etc. Maintain records for leases, renewals and related certificates of insurance
  • Coordinate issuance of volunteer services letters.  Coordinate issuance of host club insurance letters.  Generate letters in response to requests for donations. Obtain certificates of insurance from insurance broker as needed. Generate memos and letters as requested
  • Keep Info Portal date relating to Accounting complete and up-to-date.  Format in organized and efficient manager.  Keep procedures manual for Executive Assistant complete and up-to-date.  



What You Bring to the USGA:


  • Minimum of 8-10 years’ related experience required
  • Bachelor’s Degree or degree/diploma in Secretarial Science or related field preferred
  • Strong proficiency in Microsoft Office including Outlook, Word, Excel, PowerPoint, and Access 
  • Excellent telephone and interpersonal skills – diplomatic, friendly, personable, cooperative
  • Able to prioritize and meet tight deadlines and work well under pressure
  • Significant experience with domestic and international travel planning
  • Able to work independently; reliable and flexible
  • Extremely well organized and detail oriented
  • Fully respectful of confidentiality of sensitive information
  • Proficiency in Adobe Acrobat Professional preferred
  • Notary Public  (USGA will reimburse costs to get and maintain license)
  • Willing to work overtime as requested
  • Experience supporting CFO/Finance functions a plus
  • Familiarity with golf a plus
  • 5-10% travel required
